QuickBooks Payroll will not process direct deposits on Thursday, Dec. 25, 2008; Thursday, Jan. 1, 2009; Monday, Jan. 19, 2009; and Monday, Feb. 16, 2009, because of the Federal Reserve Bank's observance of the Christmas Day, New Year's Day, Martin Luther King, Jr. Day, and Presidents' Day holidays. To comply with the Fair Labor Standards Act, you might need to send your direct deposit payroll earlier than usual.

Important Payroll Dates

I Do My Own Tax Filings

Dec. 8, 2008: Date that employers may begin transmitting 2008 W-2s to the Social Security Administration.

Jan. 5, 2009: Date that IRS e‑filing servers will begin accepting e‑filings for 2008 Form 940 and fourth quarter 2008 Form 941. If you attempt to e‑file these forms before Jan. 5, you will receive a rejection message and will need to resubmit your e‑filings through QuickBooks.

Feb. 2, 2009: Deadline to supply each employee a completed Form W-2, Wage and Tax Statement.

Feb. 2, 2009: Deadline for Forms W-2, 940, 941, 943, and 944:

  • Deadline to deposit FUTA tax owed through December.
  • Deadline to file Form 940 (FUTA) for 2008.
  • Deadline to file Form 941 for fourth quarter 2008.
  • Deadline to file Form 943 for 2008.
  • Deadline to file Form 944 for 2008 if you are a small employer assigned this filing type by the IRS.

March 2, 2009: Deadline to file Form W-3, Transmittal of Wage and Tax Statements, along with Copy A of all the Forms W-2 you issued for 2008 (March 31, 2009, if you file electronically).

I Get Assistance with My Taxes

Dec. 31, 2008: Deadline to change your W-2 print option in the Payroll Tax Center. If you selected the Intuit Print Service print option for W-2s, this is also the last day to submit a one-time address change for W-2 delivery.

Jan. 5, 2009: Date that applicable W-2 processing fees will be charged if you selected the Intuit Print Service print option for W-2s; be sure to fund your payroll account. Specific pricing for your company is displayed in the Payroll Tax Center when you select the Change W-2 printing option link.

Jan. 10, 2009: Date that W-2s will be available in the Payroll Tax Center for viewing and printing if you selected the Self-Print option for W-2s.

Jan. 26, 2009: Date that W-2s should arrive at your company legal address if you selected the Intuit Print Service print option for W-2s.

Feb. 2, 2009: Deadline to supply each employee a completed Form W-2, Wage and Tax Statement.

Feb. 5, 2009: Date that copies of your filed fourth quarter and annual tax forms will be available in the Payroll Tax Center.

I’m an Accountant

Dec. 15, 2008: Deadline for corporations to file the fourth installment of estimated tax payments for 2008.

Jan. 15, 2009: Deadline for individuals to file the fourth installment of estimated tax payments for 2008.

All Services

Feb. 2, 2009: Deadline to supply each 1099 subcontractor with a completed Form 1099.

March 2, 2009: Deadline to file all the Forms 1099 you issued for 2008, along with Form 1096, Annual Summary and Transmittal of U.S. Information Returns (March 31, 2009, if you file electronically).

Dec. 25, 2008: Federal Reserve bank holiday—Christmas Day.

Jan. 1, 2009: Federal Reserve bank holiday—New Year's Day.
