5 Quarter-End Reminders
QuickBooks Assisted Payroll simplifies your quarter-end by preparing and filing your federal Form 941 and state quarterly payroll tax forms for you. The Assisted Quick Tax Guide lists all the forms that QuickBooks Assisted Payroll supports. As the end of the quarter approaches on March 31, 2008, please take a few moments to review the following five reminders and ensure that your quarter-end proceeds smoothly:
- Submit your first quarter 2008 information by March 27, 2008.
- Make sure all of your company data is up-to-date.
- Update your state unemployment insurance rate (SUI) in QuickBooks if you received a rate change.
- Send federal or state notices regarding payroll taxes to Intuit.
- Access copies of your first quarter 2008 payroll tax returns that Assisted Payroll prepares and files for you in the Payroll Tax Center after May 5, 2008.
1. Submit your first quarter 2008 information by March 27, 2008
To avoid incurring backdate fees, send your first quarter 2008 information to Assisted Payroll by March 27, 2008. Be sure to enter and transmit manual checks, voids, or deletes, so the information can be included in the payroll tax returns we prepare for you.

2. Make sure all of your company data is up-to-date.
If your company name, address, federal employer identification number (EIN), or bank account information has changed, Assisted Payroll needs to know. Follow these links for further instructions:

3. Update your state unemployment insurance rate (SUI) in QuickBooks if you received a rate change.
QuickBooks Payroll subscribers must update their state unemployment insurance (SUI) rates themselves. The QuickBooks Payroll tax table does not include updates to these rates, because states assign each employer a unique rate based on their employment history. If you receive a rate change notice from a state unemployment agency, follow these steps to change the rate in QuickBooks.
Important note: At the end of this rate change process, you will need to transmit a zero payroll to Intuit prior to the creation of your next payroll. Before you transmit a zero payroll, make sure that you do not have any payroll checks created within your QuickBooks that you have not yet transmitted to Intuit. If you do, you should complete your payroll processing and transmit that payroll to Intuit. (This payroll will still have your old SUI rate; QuickBooks will adjust to your new SUI rate after you have sent the zero payroll.)
To send a zero payroll, go to the Employees menu in your QuickBooks company file and click Send Payroll Data. Enter your payroll PIN and transmit your 2008 SUI rate to Intuit.
To update your SUI rate in QuickBooks:
- In QuickBooks 2008 and 2007: From the Employees menu, select Manage Payroll Items, and then choose View/Edit Payroll Item List.
In QuickBooks 2006 and 2005: From the Employees menu, choose Payroll Item List. - From the displayed list, double-click the SUI item you want to change.
- Click Next until you reach the window that displays your rates, and if necessary, edit your rate.
- Click Next until you reach the window that displays a Finish button, and then click Finish.
4. Send federal or state notices regarding payroll taxes to Intuit.
If you receive a notice about your federal tax deposit frequency, a SUI rate change, or any other correspondence regarding payroll taxes from the IRS or a state agency, please fax or mail the documents (including coupon books, if applicable) to:

Note: For quick processing and easy identification, include your company EIN on documents.
If you receive blank federal forms 940, 941, 944 and envelopes from the IRS, you do not need to send them to Assisted Payroll.
However, please send original preprinted tax return forms for Wyoming Unemployment, and send the original state deposit coupon booklets for Vermont Withholding and Virginia Withholding to:

5. Access copies of your first quarter 2008 payroll tax returns that Assisted Payroll prepares and files for you in the Payroll Tax Center after May 5, 2008.
Copies of the first quarter 2008 payroll tax returns that Assisted Payroll prepares and files for you will be available in the Payroll Tax Center by May 5, 2008.
To access the Payroll Tax Center in QuickBooks 2008, 2007, or 2006:
- From the Employees menu, select Payroll Center.
- Select the View/Download Tax Forms or View/Print Forms & W-2s button near the bottom right side of the page.
- Enter your payroll PIN when prompted.
To access the Payroll Tax Center in QuickBooks 2005:
- From the Employees menu, select Payroll Services.
- Select View/Change Payroll Service Account Information.
- Select the View/Download Tax Forms link near the bottom right side of the page.
- Enter your payroll PIN when prompted.
