Access Copies of Your Assisted Payroll Filed Tax Forms through QuickBooks

The QuickBooks Assisted Payroll team has listened to your feedback and made a helpful improvement. Now you can obtain copies of your filed payroll tax forms through a secure link within your QuickBooks software. Copies display in a PDF file format that makes it easy for you to view, print, store, and even share copies of your filed payroll tax forms.

Advantages of Filed Tax Forms in PDF

Accessing your filed payroll tax forms electronically is faster, easier, and more secure than mailed copies, and ultimately more flexible for you:

  • View your tax forms approximately five days earlier than before.
  • Tax information is protected by your payroll PIN.
  • Print only the forms you need, when you need them.
  • Download and store electronic copies of your filed payroll tax returns.
  • E-mail copies of your filed payroll tax forms to your accountant.
  • Access historical forms quickly and easily.

Note: Many historical filed copies dating back to the third quarter of 2005 are also available for electronic access.

Filed Payroll Tax Forms No Longer Mailed

Later this year, your filed payroll tax form packets will no longer be mailed to you (we will notify you via e-mail of the exact date). No change will occur to your tax processing service; we will continue to prepare and file your payroll taxes. We are simply improving how you receive copies of your filed payroll tax forms. If you haven't done so already, please take a moment soon to become familiar with how to access and view copies of your filed forms through QuickBooks.

What to Do in QuickBooks

Follow these steps to access and view copies of your filed payroll tax forms. Please note that this access requires both an Internet connection and Adobe® Reader® version 8.0 or later. You can download a free copy of Adobe® Reader® from http://www.adobe.com.

To access copies of your filed payroll tax forms:

  • In QuickBooks 2007 or 2006:
    1. From the Payroll Center, click View/Download Tax Forms.
    2. Enter your payroll PIN.
    3. Click the Employer Forms tab.
  • In QuickBooks 2005:
    1. From the Employees menu, select Payroll Service.
    2. Select View/Change Payroll Service Account Information.
    3. Select the View/Download Tax Forms link near the bottom of the page.
    4. Enter your payroll PIN.
    5. Click the Employer Forms tab.

To find and view selected copies of your payroll tax forms:

  1. After logging in, choose the type of form (Form 940, for example) in the Select form drop-down box.
  2. Choose the year in the Select year drop-down box.
  3. Choose the time period in the Select quarter drop-down box.
  4. Click the orange box labeled Find forms.
    • To display more than one form, click the Select all button.
    • To choose a single form, click in the box directly to the left of the form name.
  5. Click the orange View selected box. Your selected document displays as an Adobe PDF document.
