Maryland Prohibits the Printing of Social Security Number on Pay Statements
Maryland is prohibiting the printing of an employee's Social Security number on pay statements. Effective Jan. 1, 2007, certain Maryland employers, including certain governmental units, are prohibited from printing or causing to be printed an employee's Social Security number on the employee's wage payment check, an attachment to an employee's wage payment check, a notice of direct deposit of an employee's wage, or a notice of credit of an employee's wage to a debit card or card account.
For more details, see House Bill 388 http://mlis.state.md.us/2006rs/billfile/HB0388.htm.
QuickBooks 2004 through QuickBooks 2007 enables you to set preferences for printing paycheck vouchers and paystubs, so that you can prevent an employee's Social Security number from appearing on pay statements. In QuickBooks 2005 through QuickBooks 2007, you also have the option to print only the last four digits of employees' Social Security numbers and bank account numbers.
To hide Social Security numbers or print only the last four digits on employees' paychecks and paystubs:
- From the Edit menu, select Preferences.
- Select Payroll & Employees from the list.
- Click on the Company Preferences tab and then select Printing Preferences.
- Uncheck the box Employee social security number.
Note: If you have QuickBooks 2005 or later, you can choose to display only the last four digits of employees' Social Security numbers on their checks and paystubs by checking the checkbox Employee social security number and then also checking the checkbox Only the last four digits of SSNs and bank account numbers.
