Use Reports to Make Informed Business Decisions

When you track your time in QuickBooks, you can use that data to make informed decisions about your business. It's easy for any QuickBooks Pro, Premier, or Enterprise Solutions customer to build these reports.

If you use QuickBooks Premier: Professional Services edition, you'll enjoy the convenience of having these reports pre-built and available under the "Professional Services" menu in QuickBooks.

Here are some sample business questions that QuickBooks reports can help you answer:


"Have I forgotten any charges?"
If you invoice on a time-and-expenses basis, use the Billed/Unbilled Hours by Person and Project report to review all your employees' work for a client and make final decisions on what is billable. Make sure that you've included all the appropriate activities on your client's invoice. Review any activities currently marked as Not Billable and make sure those hours are accurately marked.

To build this report in Pro, Premier, and Enterprise Solutions:

  1. Under the Reports menu, select Jobs, Time and Mileage, and then the Time by Name report.

  2. Click the Modify Report button at the top of the report.

  3. On the Display tab, click the boxes next to Billed, Unbilled, and Not Billable. Click OK.

  4. In the Dates box, select the date range you are interested in.

  5. Click the Memorize button to save this report for future use.


"How much of my employees' time is billable vs. non-billable? Which employee has worked the most billable hours?"
If you invoice on a time-and-expenses basis, use the Billed/Unbilled Hours by Person and Project report to review all your employees' work for a client and make final decisions on what is billable. Make sure that you've included all the appropriate activities on your client's invoice. Review any activities currently marked as Not Billable and make sure those hours are accurately marked.

Use the Billed/Unbilled Hours by Person report to compare employees' billable versus non-billable hours. So before you hand out those holiday bonuses, you might check which employees are really bringing in the billable hours for your firm.

This report is similar to the one you created above, but it removes the project-level detail.
  1. Open the report you created above.

  2. At the top of the report, click the Modify Report button.

  3. On the Display tab, under the Columns section, change Display Time Grouped to Time by Name only.

  4. Click the Memorize button to save this report for future use.


"How much time are we really spending in non-billable meetings?"
Use the Billed/Unbilled Hours by Person and Activity report to quickly understand the type of work you and your staff are doing. If your billable hours aren't where you want them to be, this report can help you identify non-billable activities that you may want to consider discontinuing.

To build this report in Pro, Premier, and Enterprise Solutions:
  1. Under the Reports menu, select Jobs, Time and Mileage, and then the Time by Name report.

  2. Click the Modify Report button at the top of the report.

  3. On the Display tab, go to the Display Time Grouped pull-down list, and select Time by Name by Item.

  4. On the Display tab, click the boxes next to Billed, Unbilled, and Not Billable. Click OK.

  5. In the Dates box, select the date range you are interested in.

  6. Click the Memorize button to save this report for future use.
