How do I find text in check stub memo lines and/or in the description fields of an invoice?



Q:  

How do I find text in check stub memo lines and/or in the description fields of an invoice?

A:  


Change the find filter to include the distribution line memo/ description and exclude the global memo.

Changing the find filter to search for memos and descriptions in QuickBooks '99, 2000, 2001, 2002 and 2003:

  1. Choose Edit > Advanced Find (In QuickBooks '99 choose Edit > Find).

  2. Click Memo in the Filter list.

  3. Type the text you want to find (for example, 'desk' or 'computer').

  4. In the Filter list, scroll down and select Detail Level.

  5. To just search the payment stub memos and sales descriptions, choose 'All except summary' (Multiple lines*) in the last column of the table:


Transaction

Check, Bill, and so on.

'All' searches the global/overall Memo plus each distribution line.

'Summary only' searches the global/overall Memo.

'All except summary' searches each distribution line.

Invoice, Sales Receipt, and so on.

'All' searches the global/overall Memo plus each Description line.

'Summary only' searches the global/overall Memo.

'All except summary' searches each Description line.


  1. Choose the Find button to display the "results" list.

  2. Notice the 'Number of matches:' in the lower right displays '0' or another number.

  3. Choose the Report button to display more information about the transaction(s).

  4. Move to the desired transaction.

  5. Double-click the mouse to QuickZoom to the transaction.


Tips:
  • In the Filter's Memo field, you can type all or part of a word. For instance, if you type 'computer' and don't find any transactions, the word could be misspelled on the transaction. Replace 'computer' with 'comput' and choose Find again.

  • In QuickBooks 2002 and above, the Detail Level default is 'Summary only.'

  • In QuickBooks 2001 and earlier, the Detail Level default is 'All.'
