 On Microsoft® Windows XP, use QuickBooks Back Up to send your *.qbb file to a temporary Microsoft CD Burning folder. (IMPORTANT: If you are not using the Microsoft (R) Windows XP CD Writing Wizard, modify the steps below according to your CD-R or CD-RW instructions.)
Backing up QuickBooks 99, 2000, 2001, 2002, and 2003 to Compact Disc ReWritable (CD-RW) or Compact Disc Recordable (CD-R) media with the Microsoft® Windows XP CD Writing Wizard:
Open the QuickBooks company file.
Choose File > Back Up.
Insert the CD-R or CD-RW media into your CD-R or CD-RW drive.
In QuickBooks 99 and 2000, skip to step 8.
In QuickBooks 2001 and 2002, skip to step 7.
In QuickBooks 2003:
Choose Set Defaults.
Click to place a checkmark next to "Append date and timestamp to the name of this back up file."
Choose OK to close Set Defaults.

Note: If you want to use the Windows XP Wizard, the "Use Windows CD Writing Wizard" box must be checked. If you have 3rd party CD burning software installed, uncheck the box. With 3rd party software and the box unchecked, you can skip steps 13 to 23. The "Use Windows CD Writing Wizard" box does not display at all if you are not running Windows XP.
In QuickBooks 2002 and 2003, choose Browse. (In QuickBooks 2001 choose Change.)
In 'Save in' choose the CD-R or CD-RW drive (for example, D:)).
Choose Save. (In QuickBooks 99 and 2000 skip to step 11 after choosing Save).
In QuickBooks 2001, 2002, and 2003:
The Location will show your Windows folder (for example, C:\Documents and Settings\YOUR NAME\Local Settings\Application Data\Microsoft\CD Burning\).
Choose OK. (Choose Back Up in QuickBooks 2001 and 2002.)
QuickBooks Information displays, "Your data has been backed up successfully."
Choose OK.
Steps 13 - 23 are for the Windows XP CD Writing Wizard.
Click the Windows Start button.
Choose My Computer.
Double-click on the device with removable storage (for example, CD-RW Drive (D:).
Your company *.qbb file displays in the 'Files Ready to be Written to CD' list.
Click on the CD Writing Task 'Write these files to CD.'
The CD Writing Wizard asks for the CD name.
Enter a name with 16 characters or less, such as "QB Monday Backup."
Choose Next.
CD Writing Wizard displays "Please wait."
The CD Writing Wizard asks if you want to create another CD using the same files.
To close the wizard, choose Finish.
Use Windows Explorer to verify your *.qbb is on the recordable/rewritable disc.
Remove the CD from the drive and store the disc in a safe place.
Tips:
You should rotate media on a regular basis. For example, if you back up at the end of each workday, label one disc 'Monday', the next disc 'Tuesday' and so on until label 'Friday.' On Monday, use the media with the 'Monday' label. On Tuesday back up to the 'Tuesday' disc. Continue backing up through Friday. On the next Monday, back up again to the disc labeled 'Monday.'
Consider making a backup with a different filename and on a different CD for critical dates. For example, you might label the recordable/rewritable disc "QB Tax Backup" after you have completed your 2003 income tax return. You might change the filename to "YOURCOMPANY2003taxreturn.qbb."
A CD has a 700MB capacity. You can back up several times onto one recordable/rewritable disc by adding the date and time to your *.qbb.
Use a felt tip pen to write detailed information on the media. For instance, "QB for income tax 2002."
Error:
- Problem:
QuickBooks 'Back Up Company to…' message displays, "d:\YOURCOMPANY.qbb. You do not have permission to open this file. See the owner of the file or an administrator to obtain permission."
Possible Solution: The CD drive is not recordable/rewritable. Obtain a CD-R or CD-RW drive.
